You already take a deposit. Why cancellations are still on you

- Deposit ≠ cancel immunity. Split guest resale vs host emergency cancel
- Live today

Hosts who already take a deposit offline often assume the hard part is done. A card hold on SlotVail feels like the same shield. It isn’t. A deposit buys calendar stickiness. Cancellation still leaves you with ops—resale when they can’t come, emergency cancel when you can’t run. This note separates those two from the comfort of “I already took money.”
1. What a deposit actually buys you
A deposit (offline cash, bank transfer, or a card authorization) raises the cost of walking away for no reason. Free RSVP links underperform; tiny “reminder” deposits barely help. That much is true on and off SlotVail.
What it does not buy: a closed loop. Someone can still change plans. You can still get sick, lose the room, or miss a flight. The money sitting in escrow does not open the door, wait for late arrivals, or re-list the seat. Those jobs stay with the host—or with a clear product path.
2. On SlotVail, the hold is the deposit stand-in
A bid places an authorization hold for that bid amount. The starting minimum (floor) is the lowest hold you’ll accept—set it as a deposit feel, not a revenue target. Details → How to set a starting bid.
- Lose the auction → hold releases
- Win → funds stay in escrow until the experience
- Can’t attend after a win → managed resale by default—not an automatic no-show refund
So yes: you already “took a deposit” in the only sense SlotVail uses. The cancel problem is still waiting after that.
3. Guest can’t come → resale (still not emergency cancel)
When the winner can’t make experience day, the first move is not emergency cancel. Participant-side absence is managed resale: the cancelled seat opens again on the original listing; other won seats stay filled. Default: no automatic no-show refund.
Today that path is still host-facing in spirit—you confirm the cancel and keep the listing honest. Escrow does not auto-heal an empty chair. Ops order → Streaming no-show playbook. Day-of QR → Experience day.
4. What the product should take off the host
A deposit/hold still does not close the loop. What SlotVail is built to remove is the happy-path need to manually re-auction every guest dropout.
Live today on the listing / booking path:
- Waitlist first — offer the next guest in FIFO order at the original win/purchase price or your resale floor
- If the waitlist is empty — re-list the same seat until the resale cutoff from your cancel template
- Host is notified — you should not have to start a brand-new auction as the default
Cutoff hours differ by template (private 24h / small group 12h / workshop 7d / retreat schedule). Details → Waitlist fills the empty chair · Four cancel templates.
Still true: this is not an auto-refund for walking away. Guest path stays resale. Host can’t run stays emergency cancel.
5. You can’t run → still on you (emergency cancel)
When you must stop the experience, that is emergency cancel—hold release or refund attempt after sale confirmation, reason required, capped use (2 per rolling 30 days). Treating a guest schedule change as emergency cancel burns quota and records the wrong side.
Having taken a deposit earlier does not expand that safety net. Policy → Host cancellation / emergency cancel.
6. Why “I already took a deposit” is the wrong comfort
The phrase usually means: I’ve reduced flake risk, so I can stop thinking about cancels. On experience slots, that is half true and half dangerous.
- True: a meaningful hold beats free RSVP for calendar stickiness
- False: deposit = no further decision when someone vanishes
- False: deposit = free reopen of the slot without resale rules
- False: deposit = unlimited host-side stop without emergency-cancel policy
Keep the deposit layer. Add the split: guest → resale; host → emergency cancel. Let waitlist/re-list take the empty-chair ops. Auctions with holds add stickiness—they do not replace capacity limits, reminders, or day-of playbooks.
A deposit still needs a dated seat—open credit is not what you sold. → Dated seat, not open credit.
FAQ
Q. If I already take a deposit offline, am I covered on SlotVail?
A. A deposit (or a bid hold that feels like one) raises stickiness. It does not remove guest-side resale work or host-side emergency cancel when you cannot run.
Q. Does a won seat auto-refund if they no-show?
A. No. Participant-side absence is managed resale by default—not an automatic no-show refund. See the no-show playbook.
Q. Do I have to run a new auction every time a guest cancels?
A. No—that should not be the happy path. Live today: waitlist offer, then re-list until cutoff; you get a notification. → Waitlist guide.
Q. When is emergency cancel the right path?
A. When the host must stop the experience itself. Reason required; capped use. Do not burn that path for a guest schedule change. → Emergency cancel policy.
