Auction close is not the finish. On experience day you still have to open the seat, decide how long to wait, and close the loop if they never join. This note does those three jobs only.

1. How to open the venue (who points which QR)

Payout waits for check-in. The day-of path is fixed:

  • Winner reads the host QR.
  • Winner shows their check-in QR (available from 2 hours before the experience).
  • Host scans that check-in QR.

Stand where both screens are readable and run that QR order—don’t invent a second attendance rule. Escrow releases after this scan, not after “they said they were there.”

2. How long to wait

SlotVail does not publish a fixed “wait N minutes then mark no-show.” The no-show playbook also refuses a one-size cut-off for bidding vs start—so we won’t invent a late clock here either.

Write your wait rule and publish it on the listing (and say it live if you stream): e.g. how long you hold the room before you treat the seat as unused. Guests should see the same number you will use when you’re tired at minute forty.

3. If they never join

If the winner already moved the seat through managed resale, your day-of job for that seat is done—serve the new winner with the same QR path.

If they simply don’t appear and resale was not used, don’t invent an auto-refund on the floor. Follow the playbook: participant-side absence is managed resale territory, not emergency cancel.

FAQ

Q. Which QR does the host scan?

A. The winner’s check-in QR—after the winner has read the host QR. Host scans check-in; that completes attendance for escrow.

Q. Is there a platform default for “late”?

A. No. Publish your own wait window on the listing. Don’t invent a number that contradicts the playbook’s refusal of fixed cut-offs.

Q. They didn’t show and never resold—what now?

A. Don’t treat it as host emergency cancel. See the no-show playbook for participant-side resale vs host-side stoppage.

Next step

On experience day: open on time, run host QR → check-in QR → host scan, apply the wait rule you published, and if the seat is empty without resale, open the playbook—not a new refund habit.
