Cancel rules should match the room: a 1:1 slot is not a three-day retreat. SlotVail ships four cancel templates—defaults you can edit—so cutoffs and guest-side resale stay honest. The global split never moves: guest = resale; host = emergency cancel.
1. The four defaults (host-editable)
- Private / 1:1 — guest may change until 24h before; after that, full charge by default; guest path → resale
- Small group — same shape with a 12h change window
- Workshop — money is forfeited after 7 days before. The seat can still be offered until about 2 days before. A later sale does not return cash. This is not a platform-wide ban, and it is not emergency cancel.
- Retreat / multi-day — non-refundable deposit + remainder schedule; resale if possible within the template rules
These are starting points—not price tables. Edit when your room needs a tighter or looser window. Do not invent yen/dollar charts that the product does not show.
2. Guest path stays resale
When the guest can’t attend inside or outside the window, the product job is still managed resale: waitlist FIFO, then re-list until cutoff. That is not an auto-refund story and not emergency cancel. → Waitlist fills the empty chair · Deposit guide.
3. Host path stays emergency cancel
When you cannot run the experience, use emergency cancel—reason required, capped use. Guest flaking must not consume that quota. → Host cancellation / emergency cancel.
4. Pair with reminders and day-of

Q. Are these locked forever?
A. No. They are defaults. Hosts can edit within product rules.
Q. What happens after the guest change window?
A. Typically full charge / forfeit default, with managed resale of the seat—not emergency cancel.
Q. Does guest cancel use emergency-cancel quota?
A. No. Guest flake must not consume emergency-cancel quota. That path is for when the host cannot run.
